BIRTH CERTIFICATES (Born in Transylvania)

The Register of Deeds office files all birth certificates for people born in Transylvania County.  A certified copy of a birth certificate is $10.00 if purchased in our office. We accept cash, check, or debit/credit card. If using a card it will charge a convenience fee. All non-certified copies are $0.25.

There is an additional option to obtain a certified birth certificate through NCVITALS.  The cost is $10.00 per copy in addition to a $1.00 processing fee. Once everything has been submitted and verified we will process your request within a business day (with the exception of holidays and other closings).

You may also request a birth certificate by mail please print out and fill in our Vital Records Application .  The request should include the individuals name at birth, date of birth, mother's full maiden name, father's full name, a copy of your photo ID, phone number, and a return address. Payment should be in the form of a check or money order made payable to Register of Deeds.

                                                       OUT OF COUNTY BIRTH CERTIFICATES (Born outside of Transylvania)

The Transylvania County Register of Deeds office can issue copies of birth certificates from the Statewide Birth Database maintained by the North Carolina office of Vital Records in Raleigh. Through this system we are able to issue birth certificates for persons born within North Carolina in a county other than Transylvania from 1971-present.  The search fee for an out of county birth record regardless of whether or not a record is located is $14.00. The search fee is non-refundable.  If in fact a record is located and certified copy is printed of said record, there is an additional fee of $10.00. The total fee is $24.00.  These can ONLY be obtained in our office.  We accept cash, check, or debit/credit card. If using a card it will charge a convenience fee.

Please be aware that you cannot use use this system if any of the following conditions apply to your request:

  • the individual was born prior to 1971
  • you don't have correct birth facts (name, birth year, mother's maiden name)
  • the individual was adopted
  • if you want a photo copy of the certificate instead of a certified copy
  • the individual's birth was registered as a delayed birth registration (more than one year after the fact of birth)

The Register of Deeds office files all death certificates for people who passed away in Transylvania County.  A certified copy of a death certificate is $10.00 if purchased in our office.  We accept cash, check, or debit/credit card. If using a card it will charge a convenience fee. All non-certified copies are $0.25.

There is an additional option to obtain a certified death certificate through NCVITALS.  The cost is $10.00 per copy in addition to a $1.00 processing fee.  Once everything has been submitted and verified we will process your request within a business day (with the exception of holidays and other closings).

                                                                       MARRIAGE CERTIFICATES

The Register of Deeds office files all marriage certificates for individuals who were issued a marriage license in Transylvania County.  A certified copy of a marriage certificate is $10.00 if purchased in our office.  We accept cash, check, or debit/credit card. If using a card it will charge a convenience fee. All non-certified copies are $0.25.

There is an additional option to obtain a certified marriage certificate through NCVITALS.  The cost is $10.00 per copy in addition to a $1.00 processing fee. Once everything has been submitted and verified we will process your request within a business day (with the exception of holidays and other closings).

The request should include spouse information for both individuals, date of a marriage, a copy of your photo ID, phone number, and a return address. Payment should be in the form of a check or money order made payable to Register of Deeds.

Who can obtain a certified copy of a birth, death, or marriage certificate?

Since all documents filed in the Register of Deeds office are public record, anyone may view or obtain a copy of these records. However, only the individual, their immediate family member (mother, father, step parent, child, brother, sister, grandparent, grandchild), an authorized agent, or legal representative may obtain a certified copy of a vital record. Please note that our vital records are not available online for viewing. You may view our records in the office only. These documents can be purchased in person, online at NCVITALS, or through the mail. However; for security purposes these vital records are not viewable on the website.
